Youth Sports Expo Privacy Policy

Effective Date: October 28, 2026

Youth Sports Expo ("Youth Sports Expo," "YSE," "we," "us," or "our") is operated by iEvents Media LLC. This Privacy Policy explains what information we collect through youthsportsexpo.com (the "Site"), how we use it, and the choices you have. By using the Site, you agree to the practices described here.

This policy covers our website only. Once event registration or ticketing opens, a supplemental notice will apply to that specific data (for example, information collected at check-in, on-site photography and video, athlete profiles, or payment processing), and we will link to it from here when it is live.

1. Information We Collect

Information you give us directly. When you join the Movement (our updates list), apply for an Ask YSE listing, request a sponsorship review, or contact us, we collect what you enter in that form. Depending on the form, that can include your name, email address, company or organization, your role or how you want to be involved, the brand category or project you describe, and any message you choose to add.

Family sign-ups. Our family sign-up form asks for your ZIP code, so we can see where families want Season One. If you choose to share them, it also asks for your child's general age range and the sports they are interested in. We do not ask for a child's name, birth date, photo, or contact information through the Site.

Voting for a location. When you vote for where Youth Sports Expo should go, we collect the city, state, and email address you enter, plus your ZIP code if you choose to add it. If you vote on behalf of an organization, we also collect the organization's name. We use this to see where families and organizations want us and to let you know when there is news for your area.

Searching Ask YSE. If you search for programs "near me," your browser may ask permission to share your location. Your location is used in your browser only to sort results by distance, and we do not store it. If you search by ZIP code, our server looks up the center of that ZIP code with a public ZIP code lookup service; only the five digits are sent, and we do not store the search.

Information collected automatically. Our hosting provider logs standard technical information, such as your IP address, browser and device type, and the pages you visit, for security and to keep the Site running. We also see basic, aggregated visitor statistics, such as page views and the countries visitors come from. We do not use advertising trackers, and we do not build advertising profiles.

We do not currently sell tickets or process payments through the Site. If that changes, we will update this policy before we do.

2. How We Use Information

We use the information you give us to:

  • Reply to you and send what you asked for, including confirmation emails and Season One updates
  • Review Ask YSE listing applications and sponsorship review requests
  • Understand where families want Season One, using location votes and ZIP codes in aggregate
  • Operate, secure, and improve the Site
  • Meet legal obligations

We do not sell your personal information, and we do not use it for third-party advertising.

3. Who We Share It With

We share information only with the service providers who help us run the Site and communicate with you, such as our website hosting and database provider and the email service that sends our messages. They may use it only to provide those services to us and must protect it. As we grow, we may manage inquiries in a customer relationship platform (such as HubSpot), under the same limits. We do not otherwise share your information with third parties, except: If you request highlight or team video, we share your request with our production partner, Carousso Enterprises, so they can schedule and produce it, and scheduling may take place through Calendly.

  • With your direction or consent (for example, connecting you with a sponsor you asked to hear from)
  • To comply with a law, subpoena, or legal process
  • To protect the rights, safety, or property of Youth Sports Expo, our users, or the public
  • In connection with a merger, financing, or sale of the business, on the condition that the acquiring party honors this policy

4. Children's Privacy

The Site is meant for adults: parents, guardians, coaches, program leaders, and business contacts. Our forms ask that an adult fill them out, and we do not knowingly collect personal information from children under 13. When a parent shares a child's general age range or sports interests, the parent provides it, and we do not ask for anything that identifies the child.

If event registration later requires a child's details, a parent or legal guardian will provide them through a separate process that explains how they are used, consistent with the Children's Online Privacy Protection Act (COPPA). If we learn that a child under 13 has sent us personal information directly, without a parent's involvement, we will delete it.

5. Photography, Video, Athlete Profiles, and Events

Youth Sports Expo events may include photography, video, and optional athlete profiles (for example, timed or filmed activities), potentially with outside production partners. Before any event where that happens, families will receive clear notice and a separate, specific consent process covering how a child's photos, video, or profile information may be used. Participation is optional. This Privacy Policy does not, by itself, authorize any of that use.

6. The Directory and Ask YSE

Listings in our directory, which powers Ask YSE, describe youth sports organizations and programs using information the organization provided or that is publicly available, such as a business name, address, phone number, and website. If you run an organization and want your listing corrected or removed, email Hello@YouthSportsExpo.com and we will take care of it.

7. Your Choices and Rights

You can ask us, at any time, to:

  • Tell you what information we have about you
  • Correct information that is wrong
  • Delete your information
  • Stop contacting you

Email Hello@YouthSportsExpo.com and we will take care of it, generally within 30 days. Some state privacy laws give residents formal versions of these rights once a company reaches a certain size. We may not be legally required to offer all of them yet, but we offer them to everyone who asks, because it is the right way to run this.

8. Security

We use reasonable administrative and technical safeguards to protect the information you share with us, including limiting access to a small number of authorized team members. No system is completely secure, and we cannot guarantee absolute security, but we take this seriously, especially given how many families trust us with their information.

9. Data Retention

We keep sign-up, location vote, application, and inquiry information for as long as it is useful for planning Season One and for reasonable recordkeeping. We delete or anonymize it when it is no longer needed, or sooner if you ask. We may keep ZIP code counts in aggregate form, which do not identify anyone.

10. Cookies and Browser Storage

The Site uses limited browser storage that it needs to work, for example to remember your last Ask YSE search during a visit and to keep our team signed in to the admin tools. If we add analytics or marketing cookies in the future, we will update this section and, where required, ask for your consent first.

11. Changes to This Policy

We will update this policy as Youth Sports Expo grows, especially once event registration and ticketing open. We will post the new effective date here when we do.
